Position Overview

TAL International Corporation is seeking a dependable and detail-oriented Accounting and Administrative Coordinator to manage the company’s day-to-day accounting activities and provide administrative support to our employees and leadership.

This is an entry-level to early-career position that includes accounts payable, accounts receivable, payroll processing, expense review, employee document administration, import payment coordination, and financial reporting.

This position also serves as an important point of communication between our California office and company leadership in Taiwan. Professional fluency in Mandarin Chinese, including speaking, reading, and writing, is required.

The ideal candidate understands basic accounting principles, handles confidential information responsibly, communicates clearly, and can manage recurring responsibilities with limited supervision. TAL works with an outside CPA who will provide support for more complex accounting, tax, payroll, and employment-related matters.

Primary Responsibilities

Accounts Payable and Accounts Receivable

  • Process and maintain accounts payable and accounts receivable records.

  • Review invoices, purchase records, receipts, and supporting documentation for accuracy.

  • Coordinate with the company manager to ensure bills and other financial obligations are paid accurately and on time.

  • Track incoming and outgoing payments.

  • Follow up on missing documentation, discrepancies, or overdue items.

  • Maintain complete and organized accounting records.

Payroll and Employee Administration

  • Prepare and process employee payroll accurately and on schedule.

  • Assist employees with payroll and salary-related questions.

  • Collect, review, and maintain employee forms and other required documentation.

  • Coordinate the distribution and tracking of vacation, sick, personal, and other leave hours in accordance with company policies.

  • Assist employees with routine tax forms, payroll documents, and other employment records.

  • Protect the confidentiality of employee, payroll, banking, and company financial information.

  • Coordinate with TAL’s outside CPA on complex payroll, tax, and employee-related questions.

Expense Review and Financial Reporting

  • Review and audit company expenses for accuracy, proper documentation, and compliance with company procedures.

  • Reconcile transactions and investigate discrepancies when necessary.

  • Prepare regular financial and expense reports for company leadership in Taiwan.

  • Respond to questions from Taiwan leadership regarding expenses, purchases, payments, and company financial activity.

  • Assist with month-end and year-end record preparation.

  • Provide requested records and supporting documentation to the company’s CPA.

Communication with Taiwan Leadership

  • Communicate regularly in Mandarin with company executives and team members in Taiwan.

  • Prepare and respond to written communications in Mandarin and English.

  • Obtain approval for company purchases and other expenses when required.

  • Answer questions regarding purchases, banking procedures, payment policies, and company financial records.

  • Assist with financial and administrative projects requested by Taiwan leadership, including establishing accounts, gathering banking information, and researching payment or banking requirements.

  • Help explain or translate financial and administrative information between the California and Taiwan teams.

Import and Container Coordination

  • Coordinate with the Taiwan team and TAL’s import broker regarding container deliveries from China.

  • Arrange payments for freight, duties, brokerage fees, and other import-related expenses.

  • Provide invoices, payment confirmations, banking documents, and other required information.

  • Track important payment and documentation deadlines related to incoming containers.

  • Assist with resolving payment or documentation questions involving the Taiwan team, vendors, and import broker.

General Administrative Support

  • Maintain organized digital and physical financial records.

  • Assist management with financial research, account setup, and administrative projects.

  • Communicate professionally with employees, executives, vendors, banks, brokers, and outside accounting professionals.

  • Identify missing documentation, inconsistencies, and potential errors and bring them to management’s attention.

  • Recommend practical improvements to accounting and administrative procedures.

  • Perform other related financial or administrative duties as assigned.

Required Qualifications

  • Associate degree or higher in accounting, finance, business administration, or a closely related field.

  • Professional fluency in Mandarin Chinese and English.

  • Ability to speak, read, and write Mandarin Chinese at a professional business level.

  • Basic understanding of bookkeeping and accounting principles.

  • Strong attention to detail and accuracy.

  • Strong organizational and time-management skills.

  • Ability to maintain confidentiality when handling payroll, employee, banking, and company financial information.

  • Ability to manage recurring deadlines and work independently.

  • Ability to communicate professionally with employees, company executives, vendors, brokers, banks, and outside accounting professionals.

  • Proficiency with common office software, including spreadsheets, email, and word processing applications.

Preferred Qualifications

  • Previous experience in accounts payable, accounts receivable, payroll, bookkeeping, or office accounting.

  • Experience working with an outside CPA or accounting firm.

  • Experience communicating with international offices or overseas leadership.

  • Experience with import, freight, customs, or container-related payments and documentation.

  • Experience using QuickBooks, Microsoft Excel, Microsoft Word, Microsoft Outlook, or Zoho People.

Previous accounting or payroll experience is preferred but not required. Training will be provided for TAL’s procedures, custom invoicing software, and other internal systems.

Supervision and Independence

The Accounting and Administrative Coordinator will initially report to and receive training from TAL’s company manager. As training is completed and familiarity with the position develops, the employee will be expected to manage their regular responsibilities with minimal direct supervision.

The employee will work closely with company executives in Taiwan, who will review financial reports, supporting paperwork, and other submitted documentation. Success in this position requires accuracy, dependability, responsiveness, and the ability to complete work without constant oversight.

Schedule

This is a full-time, in-office position located at:

Ontario, CA 91761

The regular schedule is Monday through Friday. Employees have flexibility when selecting their regular start and end times, subject to company needs.

The employee will work 8 hours per day, 40 paid hours per week.

Because this position communicates with leadership in Taiwan, occasional evening calls or messages may be required due to the time-zone difference. Evening communication is uncommon and generally limited to urgent or time-sensitive matters. Employees must accurately record all time worked, including work performed outside their regular schedule. All working time will be compensated in accordance with applicable law and company policy.

Compensation and Benefits

TAL International Corporation offers:

  • Annual compensation of $45,000–$55,000, depending on qualifications and experience.
